Job description
As a member of our Operations team, you will play a crucial supporting role in workforce coordination, business and finance operations, and office management-related tasks. The role includes supporting our Finance team in the first half of each month to help with the month-end closing process. The ideal candidate will demonstrate a rapid learning aptitude, possess exceptional communication and interpersonal skills, exhibit a passion for business and technical operations, and be capable of swiftly assuming autonomy. This capability is essential as you will be entrusted with critical tasks when other team members are on leave.
This is a Hybrid Role (2 days a week in office) based in Toronto, ON
Job requirements
Bachelor’s degree in Information Technology, Business Administration, Information Systems, or a related field.
3+ years of experience in an IT or Operations Role
2+ years of experience working with SaaS-Ops (Vendor management, access management, spend management).
Proficiency in analyzing current processes and developing metric-driven process automation using no-code or low-code tools (Make.com, Tray.io, Zapier).
High level of problem-solving skills, professionalism, and attention to detail.
Advanced knowledge of Google Sheets, including complex formulas, pivot tables, data analysis, and automation.
Experience supporting OKR (Objectives and Key Results) processes and systems.
- OKR Coordination: You will be responsible for coordinating the OKR process, with management to enforce OKR policies and maintain processes and systems.
- Communicate and Implement Policies: You will communicate new processes, operations policies, and programs to staff and ensure their successful implementation.
- Support and Troubleshoot: You will work with staff to solve their day-to-day technical and non-technical problems, including IT support and internal access management.
- Vendor and Financial Coordination: You will communicate with vendors, manage vendor financial information, and support Fin-Ops processes.
- Training and Documentation: You will build and maintain company process documentation and training materials, ensuring staff are well-informed and up-to-date on processes and tools. Including recording internal training and education videos.
- Office Management Tasks: You will take on tasks such as ordering office supplies, coordinating with the property manager, and maintaining office policies and security.
- Security and Compliance: Participate in security audits and compliance events, as well as maintain policies related to SOC2/GDPR.
